Welcome to the University of Rhode Island! Traveling to a foreign country can be interesting and exciting but at times it may also be disorienting. This handbook was created to help you prepare for your exchange to our campus, to help make you feel more comfortable upon your arrival at the University of Rhode Island (URI) and make you aware of the different aspects of campus life. The handbook contains brief descriptions of some of the services you may need on campus and highlights events in which you may wish to participate. Please use the service offices listed in this guide to address any additional questions that you may have, as it is impossible for this handbook to answer all of your questions. You will be considered a full-time student of URI while you are on campus and it is important that you feel comfortable and integrate into the student body. We hope you have a pleasant experience and take full advantage of all URI has to offer! Please see the back of the handbook (APPENDIX 1) for a checklist of tasks to complete prior to and during your exchange at URI. IMPORTANT! WE HAVE PUT THE SYMBOL IN CERTAIN AREAS THROUGHOUT THE BOOK TO ALERT YOU OF INFORMATION THAT REQUIRES YOUR SPECIAL ATTENTION, HIGHLIGHTS AN IMPORTANT DEADLINE OR REQUIRES ACTION ON YOUR PART. THERE IS ALSO A CHECKLIST IN APPENDIX I THAT SERVES AS A GUIDE TO ENSURE YOU COMPLETE IMPORTANT TASKS BEFORE, DURING AND AFTER YOUR EXCHANGE TO URI. The office assists with your paperwork and is responsible for your campus orientation. The office will help you with course registration, campus housing, accessing campus services, etc. The Office of International Education & National Student Exchange International Center 37 Lower College Road Kingston, RI 02881 oie@etal.uri.edu 401.874.5546 or 401.874.2395 Hours: Monday Friday 9:30 am - 3:30 pm It is very important that you notify the OIE/NSE of the following: ? Changes in your contact information ? Housing requests ? Problems with course registration ? Request to be a part of the peer ambassador program The OIE sponsors our Peer Ambassador Program where we involve visiting and exchange students with current URI students to help with their adjustment to URI. Students must request a Peer Ambassador. The OIE will contact you with more information after your acceptance. E-CAMPUS ACCOUNT ACTIVATION When students initially go to register for classes on the e-Campus web page (http://www.uri.edu/ecampus/), first-time users will need to click on the link that says First Time Users Register Here. Using the URI Identification Number the Office of International Education provided, new users will then need to follow the directions provided on the e-Campus screens. The most important part of this process will be creating a user ID and password required to access the eCampus system in the future. (Please remember the User ID/ Password and do not provide them to anyone else). Important: The Student Identification Number is a students personal identification number at the URI. This number will appear on the student ID card and allow access to URI services. It is important to not share this number with any individuals other than official university personnel. COURSE REGISTRATION Visiting exchange students MUST register for fall classes in late March/early April and for spring classes in early October through the URI student registration system called e-Campus. Students may access 6 the e-Campus system by going to the e-Campus webpage (http://www.uri.edu/ecampus/) and clicking on the Log on to e-Campus link. From the e-Campus system, you can examine the courses offered during the semester you will be studying at URI and register for them as well. If students do not register on time, specific courses may not be available as they fill up quickly. ? Search for Courses After the e-Campus system has confirmed the new users user ID and password, students can then login to the e-Campus system from the main e-Campus web page by clicking on the Students Login link on the left side of the browser. Students should enter their user ID and password to access the system for registration. Once students are logged into the system they will see their Student Center page. To view courses that will be offered during the semester at URI, click on the Search for Classes button or Add a Class link. ? Register for Courses To register for classes, add courses to the shopping cart - follow the directions provided within the account. *Please remember to check the location and time of the course, as some courses are held at the Providence campus and are a far commuting distance for students. See Below: Course Title Class Code & # Class # Status 7 If students have difficulty using the e-Campus system, go to: http://web.uri.edu/ecampus/help/ to access step by step guides and tutorials on how to use e-Campus REGISTRATION PROBLEMS AND SOLUTIONS ? Course is closed / requires permission of instructor - meet with the instructor upon arrival to campus or contact them via e-mail to see if they will permit enrollment in their class. (Students can search for the e-mail addresses of faculty members by clicking on the Directory link at the bottom of URIs main page www.uri.edu). Please note: when communicating with faculty, students need to introduce themselves with their first and last names, their student ID number, the course number, copy of their home institution transcript and reasoning for requesting permission into the course. ? Not meeting pre-requisites students must complete the Exchange Student Registration Worksheet and submit this to oie@etal.uri.edu. See the link below or Appendix I for a copy of this document. http://www.uri.edu/international/Exchange%20Student%20Registration%20Worksheet.pdf ? Internet Browser - In order to access e-Campus you need to be using a computer with an updated Internet browser. You should also be sure to change your computers default language to English before using the e-Campus system. Note: If instructors grant permission to enroll in their class, they will provide a permission number. The permission number is a special number that will allow students to register for the class within their shopping cart in the e-Campus registration system. Refer to the online tutorials on how to use permission numbers - http://web.uri.edu/ecampus/help/ HOUSING ? On-Campus Housing Students who indicate their preference to live on campus in a student residence hall during the application process will be contacted by the OIE/NSE regarding accommodation assignments prior to departure to the U.S. Do not contact the URI Housing & Residential Life (HRL) Office to try and secure housing. Please see the following link for detailed information about housing at URI: http://housing.uri.edu/ ? Off-Campus Housing Off-campus housing is very limited and the OIE/NSE does not provide off-campus housing assistance. Students considering off-campus housing should take the following into consideration: o Regular public transportation service in the local area may be limited in certain areas so please arrange for transportation to campus. This can be very inconvenient and difficult without an automobile. 8 o Many times individuals renting apartments or homes give preference to those who wish to rent their property for the full academic year. Therefore, those looking to rent off-campus for only one semester may have more difficulty doing so. o Try to arrange for off-campus housing via the Internet several months before traveling to the U.S. or plan to arrive several days before the start of classes to search for off-campus housing. A good place to start searching for off-campus housing options would be the Commuter Housing Office website: http://www.uri.edu/commuter_housing/ Visit http://www.uri.edu/home/visitors/plan.html for a list of inns, motels and hotels near URI for those who plan to arrive before the start of classes and need temporary accommodations. ACCIDENT/SICKNESS INSURANCE All full-time domestic and international students and their dependents are required to purchase school health insurance unless evidence of comparable coverage in another plan is provided to the university through a completed waiver form. Information about the current costs for the URI Accident/Sickness Insurance Policy and the waiver process can be found on the URI Health Services Insurance webpage: http://health.uri.edu/insurance.php Unless the waiver is received by Health Services, the student will be billed for insurance coverage. The fees and regulations regarding what is considered comparable insurance are subject to change each academic year. There is no dental service on campus and dental coverage is not included in URI insurance. IMMUNIZATION RECORDS Rhode Island state law requires that students provide proof of immunity and testing for certain contagious and communicable diseases. ? Students will not be able to attend classes if the appropriate immunization documentation is not on file in the URI Health Service Medical Records Office. ? To determine which immunizations are required, go to the URI Medical Records webpage at: http://health.uri.edu/immunizations.php Immunization records MUST be mailed directly to the URI Health Services Medical Records Office or delivered upon arrival to campus but before the first day of class: URI Health Services Medical Records Potter Building 6 Butterfield Road Kingston, RI 02881 9 OBTAINING A VISA FOR STUDY IN THE U.S. Students will require a DS-2019 form and additional supporting documentation when applying for a visa to study in the U.S. In almost all instances these materials will be sent to the international office at your home institution. Please READ all instructions that are mailed in the letter that accompanies the DS-2019 form as well as the instructions printed on the back of the DS-2019 once it is received from the Office of International Students and Scholars (OISS). For information on the OISS, please visit: http://www.uri.edu/iss PACKING TIPS ? Place personal/valuable necessities in carry-on luggage ? Mark all bags with home address and phone number inside and outside of the luggage ? Remember to leave photocopies of important documents (passport, airline tickets, etc.) with a responsible individual at home. In the event that these documents are lost or stolen, photocopies can help in obtaining replacement forms easier. ? Avoid bringing items that can be easily purchased upon arrival in the U.S. (i.e. linens, toiletries, towels, pillows, notebooks, pens, etc.) ? The U.S. is on a 110-volt electrical system while most countries are on the 210 or 220-volt system so remember to bring electrical adaptors for devices. ? If prescription drugs are needed, check with a physician and/or pharmacist about carrying a supply from home. Be sure to check carefully so the pharmacist can provide the correct prescription. ? If dependent on eyeglasses, either carry a spare pair or bring the lens prescription. There is an eye-doctor on-campus that students are able to see. ? Bring some cash in the form of USD with you on the plane for emergencies upon arrival in the U.S. NOTE: At the beginning of each semester, the OIE/NSE sponsors a shopping trip for students to purchase any necessary items (linens, utensils, etc.). More information will be provided after your acceptance. AFTER YOU ARRIVE IN THE U.S. ENTERING THE U.S. U.S. Immigration Services (USCIS) will require students to provide a valid passport, U.S. visa, and DS2019 form upon arrival. Once cleared by immigration, keep these documents in a safe location at all times while in the U.S. Students will need this documentation anytime they exit the U.S. or for other processes. Please consult the OISS website for information on immigration documents: www.uri.edu/iss OIE/NSE PICK-UP SERVICE The OIE/NSE offers an airport and train station pick-up during designated times at the beginning of the each semester. Materials regarding the dates, times, and how to arrange for a pick-up can 10 be found at http://www.uri.edu/iss/welcomeweek. The Campus Police phone number is: 401-874-2121 (Please see Telephone Service on Page 15 for instructions on placing calls in the U.S.) Once settled into rooms, students should notify the OIE/NSE regarding their arrival, obtain orientation materials, and gather other important information. WELCOME WEEK ORIENTATION At the beginning of each semester, the OIE/NSE provides a mandatory Welcome Week Orientation Program for exchange students. Information about the Orientation program, along with OIE/NSE office hours during the beginning of the semester, will be sent to you after acceptance to URI as a visiting exchange student and appear on the OIE/NSE web calendar that can be found at http://www.uri.edu/iss/welcomeweek.html. OFFICE OF INTERNATIONAL STUDENTS & SCHOLARS FOR INTERNATIONAL STUDENTS ONLY Visiting international exchange students will be added to the International Students and Scholars email list (listserv) upon arrival on campus. It is important for students to check their email account on a regular basis for immigration updates via the ISS ListServ. COST OF ATTENDING URI Students should meet with the international coordinator at their home institution so they are clear on what fees they will need to pay in order to study at URI. If students experience a problem with billing that cannot be resolved alone, contact the OIE/NSE staff and they will assist with bill revision or adjustment. Visiting exchange students can view their bill by logging into the e-Campus and review the Term Finances section of the account. TERM BILL - PAYMENT OPTIONS AND FEES It is the students responsibility to check e-Campus for their term bill. If the bill is not paid on time, late fees will accumulate on the account. We do a lot of research, read a lot of articles and we collect the best of them and send them to you. We have been doing for quite a while and people love it. We publish the newsletter as a members-only page on our site. You will receive an email as a reminder to hit that page. Why ? Its so much easier to edit a web page, email newsletters are a lot of work to format. Human Infrastructure Magazine is a newsletter about people, process and careers. Its about IT careers as a lifestyle NOT training or education. Of course, you can unsubscribe from these email lists at any time. Remember, your privacy is important and we don't share your details. That would suck. We have more planned for our membership system but thats going to take a few months to setup and publish. We will let you know when its ready to go. Thanks again for signing up and don't mind us while we party a bit more!
